General questions

What does the transition to AWS mean for my current learning environment?

The switch to AWS results in improvements in speed, security, and reliability of the learning platform. The appearance of the learning environment remains exactly the same.

Are there any expected downtimes or disruptions during the migration?

We aim to make the migration as smooth as possible with minimal disruption. Should there be any downtime required, it will be communicated well in advance.

What do I need to do to prepare my organization for this migration?

Generally, little to no preparation is required on your part. However, please ensure that the contact details of the responsible person within your organization are up to date, so we can communicate in a timely manner.

How does AWS ensure the security of our data?

AWS complies with strict European security standards and compliance requirements. Data and applications are protected by advanced security measures, including physical data center security, encryption, and network firewalls.

What happens to our data during migration?

Data is securely and encrypted transferred to the AWS data center. We follow strict procedures to ensure the integrity and privacy of your data throughout the entire migration process.

How are we kept informed about the progress of the migration?

We will provide regular updates through our website and direct communication with the designated contact person within your organization. Additionally, you can always ask questions via Freshservice.

What happens to the data processing agreement now that a new subprocessor is being introduced?

An addendum to the data processing agreement will be drafted and presented for approval to the contact person within your organization. This is necessary to comply with the GDPR and other relevant legislation.

Can I choose not to migrate to AWS?

The migration to AWS is a significant step forward for the performance, reliability, and security of the platform. It is not possible to opt for an alternative without these benefits. Additionally, customers who remain on the current platform will face higher costs, as we cannot pass on the economies of scale from AWS.

How can I obtain technical support during and after the migration?

In principle, no technical support is required, but as always, you can contact our helpdesk via Freshservice. We are ready to address any questions or issues during and after the migration.

Is AWS GDPR (AVG) proof?
Does AWS comply with ISO 27001?

The Amazon data center in Ireland is ISO 27001 certified, see: https://aws.amazon.com/compliance/iso-27001-faqs/

What steps does UP take in the migration process?

After you have agreed to AWS as the new subprocessor, you will be kept informed about the timing of your learning environment’s move to AWS. This will be accompanied by minimal downtime.

Where can I direct my questions?

You can ask questions through our Freshservice customer portal.

How is the backup arranged?

AWS is a hyperscale data center, which is a type of large-scale data center designed to scale or “hyperscale”, supported by thousands of servers with powerful computing capabilities and storage resources. These data centers support the massive requirements of cloud-based software providers. This service includes backup functionality and operates as described in the Service Level Agreement of UP learning.

Has UP learning conducted a DPIA / DTIA for AWS?

UP Learning has not conducted a DPIA or DTIA (Data Privacy Impact Assessment/Data Transfer Impact Assessment). We judge that this is not necessary for this change for the following three reasons.

  1. A DPIA or DTIA is almost exclusively conducted in situations where special or sensitive personal data are processed, such as health information, race, sexual orientation, or religion. This is not the case with our learning environments, as we only process name, email, and progress data.
  2. The change to a new data center is the ‘only’ change, whereby we can fully control the risk of a potential data breach both during this transition process and later in production ourselves. UP learning does not allow external parties access to customer data.
  3. AWS could indeed gain access to customer data, but they are GDPR-compliant and ISO27001 certified. Moreover, this change is motivated not only by the expected performance gains but also by the robustness and security of this platform, which is considered the most innovative worldwide.
